Managing people

A project has three kinds of people: an owner, teammates, and reviewers. The Roles section on the support page defines each one and what it can do. This guide is about the mechanics: adding people, changing what they can do, taking access away, and the limits your plan puts on all of it.

Everything here happens in one place. Open a project and click Manage people, beside the project name at the top of the page. Everyone on the project can open it; what you see inside depends on your role.

What the panel shows

At the top, a usage line for owners and managers: how many teammates and reviewers the project is using, out of what the plan allows.

The teammate count includes you. On a plan that allows two, the owner takes one slot and one other person can be invited. Pending invitations count as well, so an invitation nobody has accepted yet is holding a slot until it is accepted or cancelled.

Below that, two lists:

  • Teammates, with each person's role, visible to the owner and to managers.
  • Reviewers, visible to everyone on the project.

Owners also see pending invitations here, with a Cancel beside each.

Inviting teammates

Use the + beside the Teammates heading. This is the only route: a project card on your dashboard opens the project and carries no controls of its own.

You invite by email address. The owner can choose whether the person joins as a member or a manager; a manager inviting someone can only add members.

At the cap, the + goes inert and an Upgrade for more link appears beside it. Cancel a pending invitation or remove a teammate to free a slot, or upgrade the plan.

A teammate who accepts gets access to the project's gallery: every capture, its notes, its context, tagging, archiving, and group curation. Teammates cannot see billing.

How reviewers enroll

You do not invite reviewers, and there is nothing to send them beyond the build itself. A reviewer enrolls from inside the prototype: they tap the Hot Takes control, give their email address, enter the six-digit code that arrives, and pick a display name. They appear in the Reviewers list the first time they enroll, and their captures appear in the gallery from that moment.

Reviewers never see the gallery. The tool on their side is submit-only, and one reviewer cannot see another's feedback.

Promoting and demoting

The owner can promote a teammate to manager, and demote a manager back to member.

A manager can invite teammates, remove members, and revoke reviewers on that project. Everything else stays with the owner: promoting and demoting, renaming the project, regenerating the project key, exporting, deleting the project, and all billing.

Promote and demote are owner-only. A manager cannot make another manager.

Removing people

Removing a teammate ends their access to the project. The owner can remove anyone; a manager can remove members but not other managers. Removing someone from a project does not touch their Hot Takes account or any other project they belong to.

Cancelling a pending invitation is owner-only, and frees the slot it was holding.

Revoking a reviewer is available to the owner and to managers. It ends that reviewer's device access to this project: they can no longer submit captures. Their existing captures stay in the gallery. If you revoke someone by mistake, they can enroll again from inside the app with a fresh code. Revoking a reviewer's last device frees their slot against the reviewer cap.

Revoking is per project. A reviewer working across two of your projects keeps the other one.

To have a reviewer's personal data erased rather than only their access revoked, use the support form.

Plan caps

Both caps are counted per project, and both are governed by the project owner's plan, not by the plan of whoever is looking.

Teammates and reviewers are separate levers on purpose. Reviewers is how many people can send you feedback. Teammates is how many people on your side can read it. Running out of one does not mean you need more of the other.

Remember that the teammate number includes the owner and any pending invitations, so a project on a plan allowing two teammates fits the owner plus exactly one other person. The reviewer number counts reviewers who still have at least one device enrolled, so revoking someone's last device gives the slot back.
