For owners
You run the show: projects, who can see the feedback, who can give it, and billing. This guide walks through managing a Hot Takes account end to end.
Account basics
Sign up and sign in with an email and password; creating an account means agreeing to the Terms of Service and Privacy Policy, noted right above the sign-up button. We send a short welcome email once your account is set up. If you forget your password, use the “forgot password” link on the sign-in page: we email you a reset link.
Your dashboard
Your dashboard lists every project you own or belong to as a card: name, trigger style, capture and reviewer counts, and latest activity, sortable by recent activity or date created. “New Project” opens a small dialog for a name and how the capture UI should be triggered in your build (a floating button reviewers tap, or a device shake): that choice is only a label for your own reference, not something delivered to the app remotely, so you still wire the matching option in code when you call the SDK's start() (see the setup guide).
A card is a link into the project and carries no controls of its own. Renaming, exporting, deleting and inviting all happen on the project's own page, so each of them has one home rather than two. See Managing the project.
Creating a project
From your dashboard, create a project and give it a name. You'll get a project key (ht_pk_…): copy it from the project page's “Hot Takes Project Key” button and embed it in your prototype (see the setup guide). Each project has its own key and its own gallery.
Managing people
A project's page has a “Manage people” button beside the project name. It covers teammates and reviewers together, and Managing people goes through it in detail:
- Invite a teammate with the + beside the Teammates header. Teammates get viewer access to the gallery: they can read every capture, tag it, and archive it, but can't touch billing. Teammates are counted per project against your plan's teammate cap.
- Promote or demote a teammate to/from manager (owner only). A manager can invite, remove teammates, and revoke reviewers on that project; only the owner can promote, demote, or touch billing.
- Remove a teammate (owner on anyone, manager on member-level teammates only) or cancel a pending invite (owner only).
- Reviewers are the stakeholders giving feedback from inside the prototype; every project member can see the reviewer list, and an owner or manager can revoke one. Revoking ends their device access to that project; they'll need to enroll again (a fresh one-time code) to submit more feedback. Reviewers are counted per project against your plan's reviewer cap. A reviewer gets a short welcome email the first time they enroll.
The gallery
Each project has a gallery of captures with three views: a storyboard canvas of groups (the one a project opens on), a grid, and a list. All three sort newest or oldest first and filter by reviewer, capture type, or tag. Open any capture to see the full detail in a split view: the screenshot or video on one side, and the note, group, tags, and device/app context on the other. The views covers all three, and Managing captures covers filtering and tidying.
Any project member can create and apply tags from a capture's detail page (pick an existing one or type a new name); the × on a tag chip un-applies it, and a tag that ends up on nothing gets cleaned up automatically. Each new capture is also auto-tagged with the reviewer app's version (e.g. “2.3.4 (16)”) unless you turn off “Auto-tag app version” in the project page's ⚙ menu; it's an ordinary tag like any other, so anyone can un-apply it too. Any member can also archive a capture to move it out of the live feed into a collapsed “Archived” group at the bottom of the gallery, and unarchive it later. Archiving is just a view: it doesn't pause or extend a capture's retention clock.
The Hot Takes Project Key
The project's title row has a “Hot Takes Project Key” button, next to Manage people: it opens the SDK integration snippet with a Copy button, a note about the microphone permission your app needs, and (owner only) a Regenerate key control. Regenerating only affects new enrollments: reviewers who already enrolled keep working, and existing captures are untouched. Regenerate if a key leaks.
Exporting your data
The owner can download everything in a project, every capture's media plus a metadata.json, from “Export project data” in the project page's ⚙ menu. It's a ZIP built on the spot, and it includes anything still in its 30-day post-retention grace window that's about to be purged for good. Both the dashboard and the project page show a notice when captures are within 3 days of aging out, and a stronger one inside 24 hours, pointing straight at the export.
Understanding plan caps
Every plan sets caps on projects, teammates, reviewers per project, captures per month, recording length, and how long captures are kept. When you go over a cap, nothing is ever silently dropped: captures are still saved, but content over the cap is gated behind an upgrade prompt in the gallery until you upgrade or fall back under the limit.

Upgrading, downgrading, and billing
Paid plans run through Stripe Checkout, and you manage an active subscription from the Stripe customer portal (linked from your account page). If a renewal payment fails, your account drops to Free immediately: there's no retry grace period today, but your data isn't deleted; anything over the Free caps is just gated until you fix payment.
Data retention
Captures are kept for your plan's retention window (see the table above), whether or not they've been archived. When a capture ages out it's hidden from the gallery, but its files are held for a further 30-day grace window: upgrade within that window and aged-out captures are restored automatically, or use Export project data to pull a copy before it's gone. After the grace window, deletion is permanent and can't be reversed.
Deleting your account
You can delete your account from account settings (type your email to confirm). You must cancel any active paid subscription first: deletion is blocked while a paid plan is active. Deleting removes every project you own and all its captures; it removes you from projects you're only a teammate on, without affecting those projects.
Enterprise plans
Enterprise is provisioned manually after you get in touch. It lifts the caps on projects, teammates, reviewers, captures, and data retention, all set by contract rather than by plan, adds a custom widget accent color, and comes with a direct support channel. Use the support form to set one up.
